Job Summary

Coordinate quality procurement of materials/equipment and accountability of stock through efficient maintenance of inventory

Job Requirements

Job Responsibilities 01: 

Coordinate quality procurement of materials/equipment and accountability of stock through efficient maintenance of inventory

Tasks:

  • Monitor the processing of every materials request as per procurement policies and procedures
  • Convene purchase committee meeting for making decision and place purchase order as per procedures
  • Organize procurement and issuance of materials to the relevant units and arrange transportation, if and where needed
  • Follow up the recording of issuance in the stock book for future review and physical verification
  • Facilitate a quarterly/half yearly procurement plan
  • Organize logistics for conferences, workshops and meetings
  • Coordinate the organizing of meetings and conferences
  • Organize venues, accommodation and logistics for various trainings and workshops
  • Organize travel and accommodation for staff through other AA country programs
  • Orient staffs on procurement requirements
  • Coordinate efficient office administration
  • Supervise regular maintenance of supplier register
  • Organize legal aspects for leasing accommodation for office, guest houses etc.
  • Provide quality, timely and efficient procurement of material
  • Undertake verification of quality of material and collect quotations
  • Convene purchase committee meeting to make decision on purchase
  • Organize procurement either through purchase order or cash advance
  • Distribution of goods to the indenter or transport to district or villages, if required

 

Job Responsibilities 02:  

Manage quality public relations with government for enhancing organization image

Tasks

  • Coordinate with Hub Offices and projects for required reports on time
  • Establish working relationship with relevant government ministries and departments
  • Coordinate timely submission of statutory reports to the government
  • Liaison with other organizations in Afghanistan and with other AA country program for need based support in logistics and admin requirements
  • Connect with other NGOs and UN agencies for the needs of logistics and administration
  • Build relations with companies and traders to get good quality products for the project needs
  • Connect with admin and logistics unit of other country programs and AA International for need based support

 

Job Responsibilities 03:  

Link with programs for its procurement requirements in Kabul as well as Hub Offices and monitoring its reach out to people

Tasks:

  • Organize procurement of materials required for programs as per the approved request from Hub offices as well as their issuance to the relevant areas
  • Review and follow up the distribution of materials to the people and to offices
  • Maintain good work environment in the office premises
  • Organize maintenance of office and guesthouse –attend to any repairs, put water, power and equipment in order or installation of new and payment of electricity and water charges
  • Attend to hospitality requirements
  • Coordinate extension of contract to office premises or guest house as and when required

 

Job Responsibilities 04: 

Systematic identification of reliable vendors and establish their quality servicing for vehicle maintenance through periodic review 

Tasks:

  • Coordinate efficient and quality maintenance of vehicles as per AA procedures
  • Administer processing of vehicle maintenance requests received from security function and organize repair from identified local workshops
  • Conduct verification of vehicles, after the repair, to ensure that job is done as per requirements
  • Coordinate efficient and quality maintenance of office and guest houses (including generator, electricity, fuel) to ensure comfortable workplace for staff
  • Supervise the cleanliness of office and guesthouses
  • Organize payment of electricity bills
  • Ensure the adequate control mechanism in consumption of fuel in offices and guesthouses
  • organize efficient vehicle maintenance and avoid wastage

 

 

Job Specification: 

Education & Training:

  • Bachelor Degree

Experience:

  • At least three years experience of working in procurement and logistic
