Job Description:

A Project Coordinator is a lead position in all Drug Treatment and Outpatient Treatment Centers [DTCs & OPTCs] of DDR Project who reports to Project Coordinator – DDR. The key role of this position holder is preparing and submitting timely all center-related interventions, information/ situation, and activity reports to Project Coordinator – DDR. She is responsible to provide her staff and patients the best level of care, supervise all interventions, conducting capacity-building programs for the staff and attend meetings.

Duties and Responsibilities

Under the direct supervision of the Project Coordinator - DDR, the incumbent of this position will perform the following duties and responsibilities:

  • Handle and manage all aspects of the work in the Drug Treatment Center [DTC], OPTC which includes administration, finance, HR, and capacity-building programs.
  • Supervise all the tasks of the relevant center based on the annual target and report on the progress.
  • Monitor regularly, respect and ensure respect for the anonymity of the patients and the confidentiality received from all the patients.
  • Ensure that all administrative and logistical tasks are promptly and correctly completed, which includes but is not limited to ensuring that the DTC/OPTC budget is correctly managed, all administrative and financial tasks and reporting are done correctly, and on time, and all logistical tasks are completed in accordance with WADAN’s policies and procedures.
  • Contribute to preparing monthly, quarterly, and annual reports, thematic reports, and correspondence according to the WADAN, Donor, and MoPH policies.
  • Establish and maintain a filing/inventory system that includes all the assets, equipment, and documents of the program.
  • Identify the gaps and develop plans (short/long terms) to maximize program impact, responding and adapting to the changing.
  • Conduct performance appraisal and training needs assessment of the DTC staff including admin staff and ensure training needs are appropriately met and within budget lines.
  • Ensure that WADAN’s, INL, Colombo Plan, and MoPH policies, guidelines, procedures, and manuals regarding the program and staff are accurately implemented.
  • Supervise, support, and guide the staff in performing their daily duties accurately.
  • Ensure effective coordination with other treatment programs run by the Government and other NGOs in the area.
  • Identify training needs and organize capacity-building programs for the staff as required.
  • Maintain accurate documentation of the program activities, summarized in monthly, quarterly, semi-annual, annual, and event reports and in submission for donor and MoPH reports as required.
  • Keep proper and updated records of all the appointments.
  • Arrange and coordinate meetings with social groups and conduct awareness events in the community.
  • Any other tasks assigned by the Project Coordinator - DDR or successor.
 

Job Requirements

  • Graduated from a registered medical university with 3 years of experience in the relevant field.
  • Must possess good managerial, problem-solving, team management, and leadership skills.
  • Proven ability to write reports and proposals. Professional business writing skills are required.
  • Documentation management and ability to use project management tools.
  • Ability to conduct staff capacity-building programs.
  • Attention to detail and working under pressure.
  • Strong written and oral communication skills in local and English  languages.
  • Knowledge of the local community structure dynamics and Drug Treatment Centers
  • Proficiency in Microsoft Office Package
