About PU-AMI

PU-AMI (known globally as Première Urgence Internationale, PUI) is a non-governmental, non-profit, non-political and non-religious international aid organization. PU-AMI’s teams are committed to support vulnerable communities and populations, those marginalized, hit by conflict, natural disaster or economic downturns. PU-AMI’s main objective is to contribute to reduction in morbidity and mortality, and provide emergency relief to those in immediate need in order to help them regain their dignity.

Afghan mission is the oldest of PUI missions, with the first medical intervention launched in 1979 just after the Soviet troops crossed the country’s borders. PU-AMI teams currently deliver the integrated health care, combined with nutrition, psychosocial support; water, sanitation and hygiene (wash), as well as trauma services. The organization implements projects mainly in eastern parts of the country, and increasingly in the South-East Region. Since the COVID-19 outbreak in 2020, PU-AMI has also positioned itself as one of the main actors in preparedness and response to the pandemic, implementing health and wash-cantered activities at health facilities and community level in Kabul and beyond.

Globally, PUI provides assistance to around 6 million people in 23 countries and across 5 continents: Africa, Asia, Middle East, Latin America, and Europe.

Job Description

Responsibilities and particular assignments : 

  • He/she is in charge of overall pharmacy stock management for Ghazni base  
  • Supply of drugs and medical equipment to HFs according to their needs 
  • To ensure that the data collected from HFs pharmacy stock every month is accurate and send to pharmacy manager at coordination 
  • Proper distribution, management, and follow up of pharmacy stock and other pharmacy activities 
  • Make sure that the pharmacy standards are respected at provincial pharmacy stock and HFs 
  • Prepare orders and follow up the process and reception  
  • Prepare reception (GRN) of orders from supplier and Kabul office and update Kabul office on status 
  • Any other official duty and responsibility assigned by line supervisor 

Objective 1 : stock management 

Activities/ Main Duties: 

  • To ensure the stock is clean, well ordered and optimize the stock management according to standard 
  • To ensure the proper management of the items in the stock (FEFO, FIFO and usage of near to expire drugs donation for close to expire not used, and destruction for expire, storage condition  ...etc 
  • To control the pharmacy stock temperature and record it in record sheet on daily basis 
  • To do reception of drugs, medical equipment and medical  supplies. 
  • To update stock card for any movement on time Responsible to avoid stock outs in HFs and provincial pharmacy stock  
  • Ensures all drugs distribution to the HF’s processed according to PU-AMI stock management systems 
  • Proper use of “sagastock pharma” and other pharmacy related database and format 

Objective 2: Supervision  

Activities/Main duties: 

  • To supervise the HFs and MHTs pharmacy stocks and ensure they are clean, well ordered and optimize the stock management according to standard 
  • Responsible to prevent stock outs in HFs 
  • To maintain rational use of medicine in HFs 
  • To supervise pharmacist in the HFs 
  • To ensure the proper management of the items in the stock (usage of near to expire drugs send back to base for close to expire not used, and destruction for expire, storage condition ...etc) 
  • To follow up and ensure that the manual stock cards are filled in 

 Objective 3: Order  

Activities/Main duties: 

  • To make an annual order chronogram and distribution plan  
  • To make an order with the cooperation of Pharmacy Manager in coordination and National Pharmacy team and follow up the order process  
  • Follow up the order reception and update Kabul teams on the status 
  • To ensure that GRN is prepared and sent to Kabul logistic. 

Objective 4 : Physical inventory 

Activities/Main duties: 

  • To do regular physical inventory of base pharmacy stock on monthly basis  
  • To do regular physical inventory in each six months of medical equipment at HFs level  
  • To ensure physical inventory of HFs on monthly base according to PU-AMI’s physical inventory SoP 
  • To enter physical inventory at ““sagastock pharma” and physical inventory report and sent to Kabul  

Objective 5 : Reporting, analysis monitoring and evaluation 

Activities/Main duties: 

  • Prepare monthly activities report and send it to  pharmacy manager in coordination 
  • Prepare distribution, reception, physical inventory, donation, expire and damage reports to  Pharmacy Manager in coordination on a monthly basis and project manager. 
  • Regular feedback to the HFs directors and MHT’s in-charge at meetings on consumption report, physical inventory  
  • Analysis of the reports to find gaps (shortages, short expiry, supply problems, and discrepencies) and share them with  Pharmacy Manger manager in coordination and project manager. 
  • Prepare Pharmaceutical Logistic Information System (PLIS) quarterly report and submite to pharmacy manager for further pcess with MoPH/GDPS. 
  • Analyze the consumption of drugs and other pharmaceuticals and provide Health Facility directors  

Job Requirements

Qualification/ Requirements  

- Graduate from a government-approved Faculty of Pharmacy (Pharm D) or bachelor's degree 

- At least 3 years experience in the field of pharmacy management  

- Good oral and written communication skills, excellent command over MS office, particularly MS Excel package and MS Word 

- Planning, organizing, Management, and Analytical skill are highly desirable 

- Able to work Under pressure  

- Teamwork capacity 

- Warehouse management skills will be an asset 

- Fluent in the national language Pashto/Dari and good knowledge of English.
