Job Description

Job Purpose: The Medical Warehouse Assistant will be responsible and accountable for the management of health projects pharmaceutical supply chain management particularly BHA-SCI, including quantifications and rationalization. He/she should apply up-to-date knowledge and skills in caring for each project.  He/she should have the qualification and experience in general and pharmaceutical and health commodities management, quantification, report writing and training, and knowledge of supervision, monitoring, and evaluation.

Main Duties & Responsibilities: 

 

  • Ensure proper receipt of all pharmaceuticals, medical supplies, and medical equipment in the Kabul Pharma warehouse with good documentation.
  • Arrange timely transfer and accompany all pharmaceuticals, medical supplies, and medical equipment to health facilities.
  • Ensure proper receipt of all pharmaceuticals, medical supplies, and medical equipment by all provincial pharma warehouse teams (warehouse officer and Pharmacy assistant).
  • Ensure pharma warehouses are clean and well-arranged according to the MDS system/ policies.
  • Provide accurate documentation and calculation of drugs in the pharma warehouse and update stock cards on a regular basis.
  • Maintain high-quality stock cards in the pharma warehouse and keep them updated on a regular basis.
  • Keeping all pharma warehouse management-related documents in proper way and updated.
  • Report all pharmaceutical-related activities to the National pharmacy manager on a regular basis.
  • Carry out monthly pharmaceutical stock checks and ensure communication on near-expired medicine and report on time to National Pharmacy Manager.
  • Prepare monthly and quarterly reports on all pharmaceuticals and medical equipment supplies management issued and consumed and stock balances to the line manager.
  • Attend training on a regular basis to upgrade skills to improve pharmaceutical warehouse arrangement/services.
  • Assist in providing accurate documents on all pharmaceuticals during audits.
  • Ensure timely reporting of near-to-expire drugs for urgent actions to prevent them from expiration.
  • Inform the line manager when the stock of goods is nearing the minimum or maximum threshold, and regularly provide the line manager with a list of the items with expiry dates within the next six months.
  • Monitor the temperature of the central pharma warehouse including freezers and refrigerators twice a day and ensure that products requiring cold chain (vaccines) are always stored at a suitable temperature (between +2°C and +8°C).
  • Maintain a temperature tracking log/Sheet updated.
  • Make sure the inventory system of the warehouse is organized and updated.
  • Inventory of stock on a regular basis & recording of its result in stock cards
  • Checking of stock cards accuracy regularly
  • Especial care of those medicines needs special storage conditions like vaccines, high price medicines & drugs with low flash points.
  • Ensure safe, clean, and proper storage of all medicine and other medical equipment within the pharma warehouse.
  • Attend coordination meetings related to pharmaceutical issues.
  • Provide first aid kits for the office and emergency kits for the vehicles traveling around.
  • Carry out any other task as assigned by the supervisor/manager.

Job Requirements

Qualifications: The candidate will be Graduated from the recognized faculty of Pharmacy.

Experience: 

  • Three years’ relevant experience in drug management.
  • Strong interpersonal and communication skills.
  • Good knowledge of computers and the English language.

Competency: 

  • Fluent in Pashto, Dari, and English Languages.
  • Good Pharmaceutical management-related report-writing skills.
  • Good knowledge of medical warehouse management.
  • The candidate must be able to travel to hard-to-reach districts in Saripul and Faryab provinces.
  • The candidate will have a good command of MS-office, particularly MS Excel package and MS Work.
  • The candidate can speak fluently in Pashto, Dari, and English.
  • Strong presentation and communication skills oral and written in Dari, Pashto, and English
