Job Description

Main Duties & Responsibilities:

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. ADMINISTRATIVE FUNCTIONS:
  • Oversee office space maintenance, repair, and utilization. Ensure that all offices look professional.
  • Support the Project Managers to sign the MoUs or other agreements or letters of understanding with the Government offices.
  • Establish and maintain an appropriate filing system (both hard copies and electronic copies) of MOUs, letters, Electricity bills and other related documents.
  • Ensure proper functioning and maintenance of equipment, facilities, and services.
  • Ensure timely compliance with all administrative reporting requirements.
  • Ensure the office administration is run professionally and responsible manner.
  • Oversee office space maintenance, repair and utilization. Ensure that all offices look professional.
  • Be responsible to organize and coordinate office wide events such as meetings, presentations, shows, holiday festivities and celebrations.
  • Identify emerging administrative and office management challenges on a timely manner and report to the supervisors.
  • Support the Project Managers to sign the MoUs or other agreements or letters with the Government offices.

INTERNATIONAL STAFF AND CONSULTANTS

 

  • Be responsible to obtain and renewal of visa and work permits for international staff and consultant.
  • Ensure that all records of international staff and consultant are up to date as required by the Government of Afghanistan.
  • Coordinate and report to his/her supervisor immediately if any issues related to international staff and consultant and their visas and work permits.

 

LIAISON WITH GOVERNMENT LINE MINISTRIES

  • Coordinate with relevant offices to prepare and submit quarterly/semi-annual or annual reports as required by the Government of Afghanistan.
  • Closely follow up with finance and program for the new project to register it in the Ministry of Economy online portal.
  • Maintain and promote professional relationships with the Line Ministries,
  • Ensure to receive and respond to the requests and inquiries from the Government.

 

TRAVEL

  • To support the Admin & Laison officer for all travel arrangements for International Medical Corps staff both domestic and international by ensuring all travel needs are met in regard to flight, tickets, information etc strictly in adherence to the organizational and donor regulations.

OFFICE ENVIRONMENT

  • Ensure office environment is welcoming to everyone with appropriate decorations and flowers and plants.
  • level of cleanliness, hygiene, and sanitation.
  • Oversee office space maintenance, repair, and utilization. Ensure that all offices look professional.

  • Adhere to the Code of Conduct, maintain humanitarian principles and respect international humanitarian law.

Prevention of Sexual Exploitation and Abuse:

  • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.

Compliance & Ethics:

  • Promotes and encourages a culture of compliance and ethics throughout the International Medical Corps. As applicable to the position, maintains a clear understanding of International Medical Corps and donor compliance and ethics standards and adheres to those standards.  Conducts work with the highest level of integrity

  • It is all staff’s shared responsibility and obligation to safeguard and protect populations with whom we work, including adults who may be particularly vulnerable and children. This includes safeguarding from the following conduct by our staff or partners: sexual exploitation and abuse; exploitation, neglect, or abuse of children and adults at risk; and any form of trafficking in persons. 

Job Requirements

Qualifications: Bachelor’s degree in management.

Experience: 

  • Preferred one year experience in administration and liaison fields Not Mandatory.
  • Fluent in Dari, Pashto, and very good command of English, oral and written.
  • Team player and able to maintain good relationships with colleagues.
  • Preferred Kabul residents
