Job Description

The Information Desk Officer will be responsible to Keep regular contact with all project beneficiaries for timely receiving of food and cash in target delivery point, undertake all receptionist and clerical duties at the desk of our main entrance. He/She will be the “face” of the organization for all visitors and will be responsible for the first impression we make. The incumbent will have a friendly and easy-going personality while also being very perceptive and disciplined and able to deal with complaints and give accurate information.

II. MAJOR DUTIES & RESPONSIBILITIES:
• Greet and welcome project beneficiaries and guests.
• Keep regular contact with all project stakeholders about the relevant issues.
• Prepare outgoing calls with registered beneficiaries for timely receiving of food and cash in target delivery point.
• Answer questions and address complaints
• Answer all incoming calls and redirect them or keep messages
• Receive letters, packages, etc. and distribute them
• Prepare outgoing mail by drafting correspondence, securing parcels, etc.
• Check, sort, and forward emails
• Place orders when necessary
• Keep updated records and files
• Take up other duties as assigned (travel arrangements, schedules, etc.)
III. QUALIFICATIONS: (Minimum Requirements)
A. EDUCATION:
At least High School (12th class) graduate, university degree is preferable
B. WORK EXPERIENCE:
At least two years’ experience in emergency response programs and related fields.
Previous work experience with WFP projects will be a bonus for the candidate.
C. SKILLS:
• Good communication and a client-oriented approach are essential.
• Interpersonal and communication skills
• Working knowledge of computer usage; working knowledge of Excel and Microsoft word is desirable.
D. Languages:
• Fluent in Speaking and writing of national languages.
• Good witting and reading skill of English Language.
E. GENERAL:
Good level of communication skills, conflict resolution and decision making capacities. The goal is to make project beneficiaries and visitors feel comfortable and valued while on our premises and deliver high-quality work on time.
