Job Description

HR Part:

  • Responsible for front office operations and activities, this includes the switchboard, receiving/forwarding and registration of letters, mails and pouches.
  • Assist in the recruitment process of staff, Recruitment –posting of job advertise receiving including sorting applications, arrangements interviews and preparation of contracts for newly recruited national staff.
  • Issuing the employment offer and contract and ensure the employees receive a copy of that.
  • Complete and maintaining the HR files in compliance with the checklist.
  • Responsible for arranging orientation to newly hired employees.
  • Responsible for the office notice boards, positing of information, clearing old information, proper arrangement.
  • Assisting in posting of job advertisements, receiving and sorting applications. Ensure all applications are organized and cleanly maintained until the closing date of the relevant announcement.
  • Keeping track of the staff timesheets for IRC Bamian through a clean and systematic way, in which filing transparency should exist.
  • Tracking the national staff leave records and notifying Bamian based staff of the status of their accrued used and unused annual leave and sick leave days.
  • Assisting in maintaining personnel files. Ensure all relevant documents are filed for Bamian office.
  • Assisting in maintaining files for all terminated staff. Ensure that files for all terminated staff from all sites are forwarded to Bamian.
  • Responsible for keeping update all personnel files.
  • Responsible for receiving Kabul office request and processing those requests.
  • Responsible for updating HRIS database and all other HR related tracking forms.
  • Carries out other duties as assigned by supervisor

Admin Part:

  • requests and make PR for SC to procure needed quantity if stationery, printer tonner and relevant
  • To maintain up to date lease status, and lease agreement of all rental properties and communicate with Kabul administration unit
  • To ensure in time payment of electricity and other facility bills and records are maintained
  • To ensure offices cleanliness on cleaners duty roster and kitchen hygiene is well maintained
  • To ensure proper plumbing, electric wires and other related things are well functional
  • Manage the accommodation/guesthouse ensure bedsheets, blankets are clean and necessary items are inside.
  • Coordinate with Security and Kabul for wavier of liability for non IRC guests.
  • Other administrative activities
  • Managing Mobile card distribution and clearance with finance.
  • Carries out other duties as assigned by supervisor

 

Job Requirements

  • Education: Bachelor’s degree in business administration, Economics, Sociology or other relevant field.
  • Years of Experience: Minimum 2 years’ relevant experience, experience with working with international NGO’s will be an advantage,
  • Prior experience in working in a multi-cultural environment will be an added advantage.
  • Skills: Personnel Management, Organizational and Reporting skill, and ability to work under pressure
  • Communication and reporting skills
  • Fluency in Pashto, Dari and English
  • Computer skills (including MS Word, Excel, Access, Outlook, and internet)
  • Ability to work closely, professionally, and constructively with all others regardless of nationality, ethnicity, gender, religion, race, tribe, or cultural background
