Job Description

Duties and Responsibilities:

  • ensures the cash supply from the Bank.
  • makes sure that no expenses are made without prior authorized signatures in the proper formats for all prior authorized signatures (expenses orders / purchase orders).
  • makes sure that all the forms regarding admin procedures are correctly filled before payment.
  • records all the expenditures in the cash book & QuickBooks. Cash balance must be reconciled with cash book on a daily basis. The cash situation should be reported on a daily basis to the Supervisor. Any discrepancy in cash must be immediately reported to Supervisor.
  • keep a clear and ordered record of all advances, both personal and professional. Make sure no unauthorized person receives a cash advance.
  • makes sure the advanced amount matches with purchase/expense orders and no advance is not just justified after a period of Specified working days from the day the advance was taken in the office. In case of delay, the Supervisor should be immediately informed and corrective measures enforced.
  • marks all invoices on the day of payment and files all invoices on WPSO vouchers and according to the numbers set by QB software.
  • prints all the vouchers and attached them to invoices, on Daily basis.
  • responsible for entering the tax reports (salary, supplier, and rental) in E Filling System of MOF and submit the transfer to bank.
  • focal point with the MTO regarding tax issues. S/he follows with MTO after the tax payment until to ensure the monthly taxations and yearly taxations are cleared and receive the tax clearance letter for every year.
  • gathers monthly hard accountancy documents as per the deadline, makes required double check and corrections and gives feedbacks to the concerned people.
  •  File and archive the hard accountancy and scanned accountancy.
  • Establish and maintain proper filing and documentation system according to WPSO policies and procedures.
  • Write checks for the bank vouchers and maintain journals for all bank accounts / Perform Monthly Bank reconciliation.
  • File all the vouchers in files and label them as per WPSO labelling and filing system.
  • Prepare monthly ledger and Ensure that all financial data is recorded accurately as budgeted.
  • Other duties as assigned.

Job Requirements

Requirements and Qualifications:

  • Educated to Bachelor/Masters.
  • Tax Management / Archiving / Cash Flow Management / QuickBooks Knowledge.
