Job Description

  • Develops and maintains online and offline inventory recording system for all BBCMA expandable and non-expendable items. This includes responsibility for labeling/tagging (inventory coding) of newly purchased equipment’s.
  • Takes care of all BBC Media Action related travel, accommodation and events arrangements and bookings including but not limited to visas.
  • Prepares daily, weekly, monthly, and annual administrative reports.
  • Ensures timely maintenance of office equipment, furniture, and office facilities.
  • Maintains good record of all incoming and outgoing letters/correspondence and ensures an appropriate tracible logging system is in place.
  • Assists in the collection of monthly timesheets for processing of payroll.
  • Assists Operations Manager in processing payments for all vendors.
  • Ensures office vehicles, building and its related premises and grounds are maintained as per health and safety, hygiene, and environment protection standards.
  • Responsible for setting up and taking notes during organisational meetings
  • Responsible for preparing and proofreading office documents, such as memos and reports, and distributing these as necessary
  • Coordinates communication between various departments
  • Carries out any other ad hoc duties as instructed by the manager
 

Job Requirements

  • University graduate preferably a degree in business administration
  • Minimum 4 years of experience with office administration at I/NGO at least 3 years of which in the similar role.
  • Good interpersonal skills to establish effective working relationships with other teams.
  • Experienced with common administration related tools and software and familiar with Dari and or Pashto typing.
  • Able to explain administrative matters to team members.
  • Willingness and ability to take the initiative not only in identifying problems but also in suggesting and implementing solutions.
  • Any eye for detail and a concern for accuracy.

  • Excellent oral and written communication skills in English, Dari and or Pashto.

 

     Desirable skills and experience:

  • Understanding of the role of media and communications in development
