About Roots of Peace/AMP:

Roots of Peace is a humanitarian organization whose mission is to rid the world of landmines and other remnants of war by transforming toxic minefields into thriving farmland and communities, through a focus on sustainable, organic farming practices. Roots of Peace is implementing the 3-year, USAID-funded Agriculture Marketing Program.

 

AMP Project Description:

The Agriculture Marketing Program (AMP) is a three-year USAID-funded program that follows on the successes of the ten-year USAID Commercial Horticulture and Agricultural Marketing Program (CHAMP). The program works in 12 provinces of Afghanistan, focusing on increasing farm production and domestic sales through interventions aimed at farmers and agribusinesses. During the first two years of the program, AMP worked with leading Afghan processing and export firms to increase export volumes and values, introduce new agricultural products to the market, diversify export markets and increase value-added processing. The program's market-based, demand-driven approach focused on supporting private sector growth and sustainability, thereby creating demand for agricultural products that drive job growth in rural areas. Women are incorporated into all areas of program implementation.

In its final fiscal year of implementation, AMP has pivoted to an approach that addresses food security challenges precipitated by the emerging economic and humanitarian situation in Afghanistan. This approach comprises three key strategies:

  1. Connecting Farmers to Domestic Markets
  2. Increasing Value-Add of Agriculture Products, Extending Shelf Life of Products
  3. Support for Remote Rural Areas

 

Activities include:

  • Increasing farm productivity and food security through Farmer Field Schools and other activities aimed at building farm capacity.
  • Expanding the number of agricultural products through value addition and product diversification, such as processed jams and sulfur dried apricots.
  • Linking farmers with traders, and traders with buyers in domestic markets, such as through domestic food expos and B2B meetings.
  • Building the capacity of agribusinesses to maximize output and quality for domestic markets.
  • Supporting initiatives such as improved post-harvest handling infrastructure for traders, including packing houses, cold storage, and improved packaging.
  • Addressing important supply chain and trade impediments that restrict the sale of high value agriculture products.

AMP works primarily with private sector agribusinesses, farm producers and other USAID-funded agricultural programs. Specific attention is given to support the participation of women and youth in AMP activities.

 

Job Description

The Admin & Operation Officer will be responsible for providing day to day administrative and clerical support to the organization. This role requires multitasking across a range of responsibilities, including Operations Procurement, Warehouse and asset Management, Facilities, equipment Management and maintenance.Travel Arrangements – Air ticketing,Maintain Tracking payments, Tracking monthly invoices,Collecting monthly expense report from operation, transport, procurement and compile and develop report.

Key Tasks:

  • Understand, implement and / or maintain standard Roots of Peace inventory management policies and procedures.
  • Ensure and in receiving and verifying the accuracy of incoming and outgoing shipments.
  • sorting, placing and putting away the goods in the appropriate place in the store & warehouse.
  • Oversee truck loading operations to ensure all policies and procedures are followed accordingly.
  • Maintains accurate inventory records through the use of a computerized inventory system
  • Manage and document the receipt, handling, storage, release and reporting of goods through the Roots of Peace warehouse(s).
  • Implement and ensure clear loading / unloading procedures, correct stacking and turnover (FIFO) and (FEFO) procedures.
  • Maintain the Warehouse activity book recording all outgoing and incoming receipts and activities.
  • Liaise with Procurement Officers for Goods/Equipment’s and materials received
  • Tag and record all the items received in Asset’s data base before issuing them to requesting unit. 
  • Prepare a monthly report for the expendables store outlining all stock movements and remaining balances.
  • Ensure systematic process of transporting items from suppliers to field locations, ensuring full control of movement and receipt of items.
  • Arrangements of venues to hold program related events
  • Keep an accurate and up-to-date record of the store contents and inward and outward movement of goods in the warehouse register or stock cards.

Operations Procurement

  • Identifying the facilities for offices. Making sure all required facilities are provided for office on timely manner.
  • Acquisition of Office/ stationeries, cleaning materials, office supplies, gas for cooking & heating, top-up cards for local and ex-pat staff and field offices.
  • Purchase of Office and guest house food items and refreshments.

Asset Management

  • Ensure adequate and timely distribution consistent with good inventory control over ROP PROGRAM equipment’s, recording and updating the inventory register.
  • Coordinating by making sure that all types of equipment and assets including communications, IT and power and to ensure that equipment are managed diligently and operated in most cost-efficient manner.
  • Conducting quarterly physical inventory check at the main office locations also getting reports from the field offices.
  • Periodically assess the disposal of assets that are not used and recorded in the inventory register accurately.
  • Conducting periodic physical check of warehouse items.
  • Preparing Issue vouchers for all asset and equipment, issued for staff.
  • Receive completed store’s request forms and prepare the goods for issuance.   
  • On a monthly basis, work with the Supply Chain Manager/Coordinator to reconcile the Warehouse register in the Asset tracking sheet and equipment issuance forms.
  • Update the stock record cards regularly.

 

Job Requirements

Desired Education:

Bachelor’s degree in fields related to public administration, business administration

Experience & Skills:

Minimum of 5 years of progressively responsible working experience in the field of Administrative and Operation with national or international organizations.  

Skills:

Fluency in both spoken and written local languages Dari and Pashto and understanding of English

Ability to think and communicate clearly with others

Advance computer skills specially in Micro soft Office

Strong analytical and communication, report writing and presentation skills

Working Conditions:

During the work assignment, the Administrative and OPS Officer will be based in Kabul and may be required to occasionally travel to other provinces in Afghanistan.
