About Women’s Activities and Social Services Association (WASSA)

About (WASSA):

The Women’s Activities and Social Services Association (WASSA) was established in 2002 as Afghanistan's first women’s independent organization. WASSA aims to promote the women’s equal participation in socio-economic sectors and support the current humanitarian crisis by providing emergency humanitarian and livelihood assistance to vulnerable households, especially women.

To support WASSA’s vision and mission, some potential candidates are needed to be recruited for a project funded by UN Women to strengthen women’s livelihoods through increased access to skills and resources. The project will be implemented in three districts of Herat Province for a period of 15 months.

Job Description

1.    Updating, reviewing, and improving administrative systems, policies, and procedures under line manager supervision.

2.      Planning and coordinating administrative procedures and systems and devising ways to streamline processes

3.      Updating forms, manuals, templates, reports formats… for Admin department under line manager supervision.

4.      Cooperating with the management team to set budgets, monitor spending, and other expenses.

5.      Planning, scheduling, and promoting Organization events, including meetings, conferences, interviews, orientations, and training sessions but jointly with close coordination with related departments.

6.      Recruiting and training personnel and allocate responsibilities and office space with close coordination.

7.      Hiring (Jointly with HR and under line manager supervision), training, and evaluating admin staff, taking corrective action when necessary.

8.      Assessing staff performance and provide coaching and guidance to ensure maximum efficiency.

9.      Ensure the smooth and adequate flow of information within the organization to facilitate other operations.

10.  Making and updating the inventory list for the organization in both Hard and Soft formats.

11.  On quarterly basis verifying the inventory list of main office and other branches of WASSA.

12.  Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints jointly with other department.

13.  Ensure operations adhere to policies and regulations

14.  Supervising day-to-day operations of the administrative department and staff members.

15.  Collecting, organizing, and storing information using computers and filing systems.

16.  Provide assistance in filtering and forwarding communications to proper individuals and departments.

17. Updating and implementing HR strategies and initiatives aligned with the overall organazition strategy.

19. Planning, organizing, and controlling the activities and actions of the Admin/HR department.

20. Managing the job description preparedness and placing job announcements.

21. Doing long listing and short listing in close coordination with departments and line manager.

22. Arrangement of interview in close coordination with departments and line manager.

23. Managing the recruitment and selection process, employee onboarding, development, needs assessment and training.

24. Report to management and provide decision support through HR metrics.

25. Bridging management and employee relations by addressing demands, grievances or other issues.

26. Supervision of Cleaners, guards and drivers on daily base. 

27. Nurture a positive working environment.

 28. Oversee and manage a performance appraisal system that drives high performance.

29. Maintain benefits program under senior management supervision and approval.

30. Ensure legal compliance throughout human resource management.

31. Proper office management and receptionists’ supervisions

32. Ensure the premises and working environment safety and security via related team

33. Assure building maintenance and office equipment and furniture and seasonal preparedness.

34. Ensure Cleanliness of all offices through related subordinate team

35. Oversee the provision of food, and refreshments for staff and guests

36. Staff movement and transportation management

37. Travel arrangements including accommodation facilitation for guests and traveling staff

 

Job Requirements

 Proven working experience as Admin/HR Manager

-      Master or Bachelor’s degree (Economics, Management, and Social Sciences).

-     5 years of experience working in admin/HR

-     People oriented and results driven

-     Knowledge of HR systems and databases

-     Ability to architect strategy along with leadership skills

-     Excellent active listening, negotiation and presentation skills

-     In-depth knowledge of labor law and HR best practices

-     Strong familiarity with office communication tools, such as Microsoft Outlook and modern phone systems

-     In-depth understanding of office management procedures and departmental and legal policies

-     Familiarity with financial and facilities management principles

-     Excellent organizational and multitasking abilities
