Job Description

  • To assist the HR/Admin Manager in the day-to-day operation of the Admin/HR department.
  • To assist the Sr.HR/Admin Officer in the preparation of monthly national staff payroll and its on-time submission to finance department.
  • Arrangement and verification of personnel files and providing of all the required documents and putting these documents in a professional way.
  • To ensure that all necessary documents be filled in by the staff member and present in the staff member’s personnel file.
  • To make sure all personnel files are kept in a locked cabinet and that access to the personnel files are limited.
  • To act as Sr. Admin/ HR Officer in charge with full responsibilities in the absence of the Sr Admin/ HR Officer.
  • To maintain a proper central filling system for the office and ensure proper registration of all incoming and outgoing mail and pouches in the relevant books.
  • Collecting of timesheets from all departments and verification of financial codes and leave record in timesheets.
  • Assisting the Admin/HR Officer during the staff PME processing
  • Proving of hiring documents to all new staff
  • Professionally Arrangement of documents in all Admin/HR Box files
  • Making of Leave Request hard and soft record.
  • Rooms reservation in Hotels for IRC staff coming from other regions
  • From time to time meeting with the cook and cleaner.
  • Dispatching of Pouch from Khost to Kabul
  • Updating vacancy tracking list
  • Carries out other duties as assigned by Sr. Admin/HR Officer
  • Respect and application of all IRC Afghanistan policies including of Personnel Policies for National Staff, MRP and IRC Way.
  • To perform any other assignments given by the Sr. Admin/HR Officer
  • Responsibilities in Finance:

  • Assist Sr. Admin / HR and  Officer in monitoring actual expenses against the budget line for the Admin department specifically of stationery and office supplies. 
  • Responsibilities in Supply Chain:

  • Liaise with the Supply Chain Department for the on time procurement and supply of requested office equipment and stationery. 
  • Common Responsibilities:

  • Attend and participate in trainings organized by IRC / Supervisor.
  • Ensure the proper operation and utilization of all office equipment and supplies e.g. photocopier, scanner, computer, printer, stationery, etc. Report the misuse and exploitation of all those equipments, machinery and supplies to the  Sr. Admin/HR Officer.
  • To report any violations of the IRC code of conduct.
 

Job Requirements

  • Proven experience in Personnel Management
  • Excellent English and Dari/Pashtu
  • Must have computer skills.
  • Experience in working with international NGOs
  • Good organizational, diplomatic and reporting skills
  • Ability to work under pressure.
  • Excellent cross-cultural skills; prior experience working in a multi-cultural environment is an added advantage.
