Job Description

The Admin and Logistic Officer will be responsible for coordinating the Admin and Logistic activities and ensuring the timely preparation of administration plans for project implementation. They will also monitor and control the logistic processes, ensuring compliance with ACDO's admin and logistic policy and procedures. The Admin and Logistic Officer will work closely with the Admin & HR Manager and other stakeholders to ensure efficient and effective logistic operations.

  • Coordinate the work of logistic and ensure the timely preparation of logistic plans for project implementation in compliance with ACDO rules, policies, and procedures.
  • Ensure logistic is conducted in compliance with ACDO's logistic policy.
  • Prepare cost and benefit analysis forms and participate in the selection committee.
  • Follow up on the activities and tasks undertaken by contractors as indicated in the signed service/logistic contracts or Purchase Orders.
  • Ensure Purchase Orders (POs) are duly prepared and dispatched, and take timely corrective actions on POs with budget check errors and other problems.
  • Ensure adequate integration of supply chain management in project implementation.
  • Liaise with supply chain counterparts to ensure adequate planning for receipt, storage, and distribution of goods.
  • Conduct cost/price quality and past performance/timeliness review of bids received.
  • Advise and provide technical support to partners and other counterparts on the development and implementation of supply chain activities in a coordinated manner.
  • Thoroughly review logistic documents of field offices for the next logistic action.
  • Regularly contribute to the development and introduction of innovation to ensure ACDO incorporates best practice approaches in head and sub-offices.
  • Plan, implement, and organize logistic and supply chain capacity building of project staff in collaboration with the project Manager Lead and Procurement Manager.
  • Identify logistic risks and undertake mitigating actions in close cooperation with the project team and logistic coordinator.
  • Conduct timely and proper preparation and updates of logistic plans for the project, establish deadlines, and monitor their implementation.
  • Play an active role in inventory management and inventory verification of ACDO head and sub-office assets.
  • Liaise with relevant Project/Department Managers for better contract management and timely supply provision.
  • Play an active role in the preparation of seminars and workshops, including hotel bookings and other logistical support.
  • Ensure that all logistic files are accurately maintained in both hard and soft copies.
  • Ensure that each PR/PO is systematically recorded in the tracking file.
  • Perform any other related tasks as assigned by supervisor and/or Senior Management Team (SMT).

Job Requirements

  • Bachelor's degree in BBA, BCS, business administration, Law or a related field
  • Experience in the relevant or similar position in humanitarian projects is required.
  • Five years Proven experience in logistic and logistics, preferably in a similar role.
  • In-depth knowledge of logistic processes, rules, and regulations.
  • Excellent organizational and coordination skills.
  • Strong analytical and problem-solving abilities.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Proficiency in using logistic software and Microsoft Office Suite.
  • Knowledge of ACDO's operations and procedures is a plus.
  • Certification in supply chain management or logistic is desirable.

  • Ability to cope well under pressure, work irregular hours and meet tight deadlines
  • Sound organizational skills and ability to prioritize and deliver assignments in a timely manner often under severe time pressures

  • Able to use & report to donor by using Quick-book
  • Ability to build strong lines of communication with all ACDO headquarter and provincial staff;

Language skills:

  • Fluent oral and written skills in English, Pashto and Dari
