Job Description

Medical, Educational, Social and Humanitarian Assistance to needy people of Afghanistan. HEWAD implements primary health care for needy people of Afghanistan, and within those focuses on the provision of health care to the most vulnerable group, children and women. HEWAD provides perfect health education, information, and service to Afghans in order to improve their living condition.

 

Job Description:

The Admin/Finance Assistant is responsible for the financial, clerical and administrative tasks in their assigned provincial office. he will handle petty cash disbursements, advances, and maintain accurate records of payments and replenishments. he will provide assistance to the provincial team to maintain daily office functions.

 

Duties & Responsibilities:

  • Handles daily financial, clerical, and administrative duties
  • Coordinates logistical support
  • Monitors office equipment and supplies
  • Ensure that proper approval signatures are obtained and that both parties: Payer and Receiver verify the cash amount of the transaction.
  • Accurately record petty cash transactions and report disbursements weekly to Finance Manager in Kabul.
  • Handles routine administrative tasks, to include calls, mail, and electronic communications and routing messages and information to appropriate individuals.
  • Ensure completeness of supporting documentations for payment.
  • Invoice coding and data input into Oracle on a daily basis.
  • Responsible for petty cash disbursements, replenishment and petty cash count.
  • Ensure bank and petty cash transactions are recorded on a daily basis.
  • Prepare monthly cash-flow control sheets with original documents of all transactions.
  • Review field budget activities to ensure cost efficiency.
  • Ensure all transactions are processed and ready in time for month end and quarter end
  • close as per agreed timetable,
  • Review payment vouchers, bank & petty cash control sheets,
  • Verify travel expense reports.
  • Ensure all procurements comply with competitive 3 quotes bidding.
  • Issue, track and reconcile approved travel advances to field office staff; review

advance reconciliation and claims for completeness and accuracy.

  • Manage filing/archiving of all documents and admin files (including invoices,

payment vouchers, credit memos, expense reports.

  • Responsible for fixed assets management.
  • Take responsibility for the maintenance of all office equipment.
  • Prepare payment request according to internal procedures of the organization.
  • Coordinate and organize field staff travel in the field.
  • Responsible for correspondences, preparation of contracts and sending invitations.
  • Provide support role in audits (internal and external) including preparation of documents

for internal, external and donor audits), in the field office when necessary.

  • Liaise with internal and external auditors on audit related issues.
  • Facilitate auditors in performing on-site visits.
  • Assist in providing management responses to audit reports and timely implements the

audit recommendations.

Educational Qualification & Experience Requirements:

  • University Degree in Business Administration (BBA), Social Sciences, and other relevant fields.
  • Minimum 2 years of work experience in relevant field.
  • Proficient in using of Microsoft Office, specially Excel.
  • Excellent spoken, reading and writing in Pashto, Dari and English is highly needed.
